POSITION SUMMARY
The Receptionist / Child Care Assistance Program (CCAP) Eligibility Specialist supports the culture and climate of Educare West DuPage by being the first staff member encountered by all who enter into the school. This position requires a welcoming and supportive attitude toward families, visitors, and staff at all times.
The Receptionist / Child Care Assistance Program (CCAP) Eligibility Specialist works with families to determine eligibility for child care payments, involving co-pays determined by CCAP along with processing applications, approvals, cancellations, denials, redeterminations and monthly invoices/payments. It is a highly-visible role within a fast-paced early childhood school environment.
This position requires an individual adept at ensuring timely and accurate information is communicated to Educare West DuPage staff and families. This position requires an outgoing, dependable, detailed-oriented, and resourceful person who will ensure workplace protocols and procedures are followed without deviation.

EDUCATIONAL AND OTHER REQUIREMENTS
- High School degree or equivalent required
- Associates degree preferred with 2+ years administrative experience
- Bilingual in English and Spanish (reading, oral, and written communication)
- Demonstrated experience with administrative tasks and computer software such as database systems and Microsoft Office
DUTIES AND RESPONSIBILITIES
Receptionist:
- Responsible for receiving visitors, which includes understanding the purpose of their visit, and guiding them to appropriate staff
- Oversee general appearance and scheduling of office, conference room, and other public areas
- Answer and direct incoming calls on multi-line telephones
- Be in close contact with staff, parents, and children
- Account for accurate visitor log and special guest data
CCAP Eligibility Specialist:
- Maintain complete and accurate records on computerized database with assigned caseload
- Knowledgeable about or willing to learn the Illinois Department of Human Services (IDHS) Statewide Child Care Management System (CCMS)
- Review and respond to all emails from IDHS
Administrative Support:
- Coordinate and develop program calendar of events, meetings and upcoming deadlines
- Type and proofread reports, correspondence, memos and budget materials accurately
- Monitor office resources and Automated External Defibrillator
- Assist management staff with developing procedures and forms as needed
- Receive and coordinate mail delivery in a timely manner to appropriate staff
- Prepare and process work orders
- File end of the month classroom documentation
- Assist Executive Assistant/Human Resource Coordinator in collection of hiring paperwork and other required materials
- Prepare staff and parent sign in sheets
- Review attendance and meals in Child Plus

REQUIRED SKILLS/ABILITIES
- Excellent organizational, time management, oral/written communication, and critical thinking skills required, including strong writing and proofing skills
- Must be detail-oriented, able to handle a heavy workload, work both independently and as part of a team, maintain confidentiality, think strategically, coordinate and manage multiple projects simultaneously, and collaborate effectively with various internal and external staff and others
- Must be courteous, analytical, proactive, and organized. Strong technical acumen with proficiency in Microsoft Office (ie, Word, Excel) and general computer skills are required, with the ability to learn and apply new technologies
- Proof of a physical examination within the last six months, which includes a tuberculosis test, and comply with other background checks as required by the organization and/or Department of Child and Family Services (DCFS) licensing
- Personal qualifications as required in Part 407: Licensing Standards for Day Care Centers which include the following: emotional maturity, willingness to cooperate with the aims of the program, respect for children and adults, flexibility, patience, good personal hygiene, and physical and mental health which does not interfere with responsibilities
